Accommodation

Rooms have been reserved for delegates at the hotels below and can be booked when registering for the conference. All rates are per room, per night and do not include breakfast, unless otherwise specified. We will indicate in the hotel descriptions below once we have used all the allocated rooms for each hotel.

As we are now within 30 days of the ASM we have had to release all unsold rooms in accordance with our contracts. If you wish to stay at a hotel you will need to book directly.

Both Crown Promenade and Crown Metropol are stylish hotels, modern hotels offering luxury accommodation with leisure facilities and an impeccable standard of guest service and attention to detail.

PLEASE NOTE: As of August 19th, the Crown Metropol have no more twin rooms available. Crown Promenade ONLY has twin rooms available.

Cancellation Policy

For any rooms cancelled within 30 days a cancellation fee will be charged which is equal to one night's accommodation. No shows and early departures will be subject to full cancellation fee of the quoted rate per night that is cancelled or reduced.

Oaks on Market offers central, contemporary self-contained accommodation and is ideal for those travelling for business.

All apartments feature modern kitchenettes while the one and two bedrooms offer the luxury of separate bedrooms, living area and dining room. Each apartment has air conditioning, LCD TV with cable channels and internet access.

Cancellation Policy

Bookings

You can book accommodation when registering for the conference. The online registration form allows you to book available rooms.

You need to provide credit card details, which will be forwarded to the hotel to guarantee your booking.

Please email us your accommodation requirements if you have already registered for the conference.

We recommend you book accommodation 90 days prior to the conference as hotels generally require unsold rooms to be released at 90, 60 and 30 days prior. After 30 days we may need to refer new accommodation requests directly to the hotels. Please email us for further information.

Extended Bookings

Please email us if you have to extend your booking for the weekend before the Conference.

Changes and Cancellations

Please see the cancellation policies listed for each hotel. Cancellations and no-shows will attract a fee of at least one night’s accommodation. However, each hotel's policy varies and late cancellations and no-shows may be charged for all the nights booked.

Please email us any cancellations and date changes.

Early Check-in Requests

Early check-in and late check-out requests are subject to availability on the day and cannot be confirmed by Conference Design.

You can enter special requests for early check-in in the "Special Requests" field of your reservation. The hotel will do its best to accommodate your request on the day. Please enquire about the status of your request at the front desk upon check-in.

Payment

Accommodation and incidental expenses need to be settled using a credit card when you check out.

You can arrange to pay your accommodation using a third-party credit card, e.g. a colleague's work credit card, by completing the form below and email it to your confirmed hotel 30-days prior to the conference.

Please email us if you wish to be invoiced for your accommodation with your registration. Any pre-payments made to Conference Design will be forwarded to your hotel. Pre-payments need to be received 30 days prior to the conference.
